ITAM & SAM Pro
Know what you own, what it is used for and what it will cost at renewal.
ITAM and SAM Pro turn asset chaos into a governed estate: hardware lifecycle, software models, entitlements, reconciliation and licence position — with SaaS and subscription spend brought into the same view.
The discipline is reconciliation: comparing what is installed, what is entitled and what is actually used, then acting on the gaps before the renewal, not after.
Good fit if
- Nobody can state your licence position without weeks of spreadsheet work
- SaaS subscriptions are bought across the business with no central visibility
- Renewals arrive before anyone has checked what is actually used
- You face a software audit or an enterprise agreement true-up
Useful to have first
- Access to entitlement records, contracts and purchase data
- At least one reliable discovery source installed or installed with the project
- Named ownership for software categories and hardware lifecycle
What the work covers
- SAM Pro: software models, entitlements, discovery sources and reconciliation
- License position reporting and true-up preparation
- SaaS and subscription governance: what you own, what is used, renewal visibility
- ITAM hardware lifecycle: procurement, allocation, refresh and disposal
- Discovery source integration (Discovery, Intune, SCCM and similar) feeding reconciliation
- Cost centre and chargeback structures for software and hardware
- Renewal and compliance workflows with named ownership
How we build it
Software models are structured with entitlements, discovery sources and reconciliation rules per publisher, so licence positions are calculated, not estimated.
Discovery sources such as ServiceNow Discovery, Intune and SCCM are connected and mapped into reconciliation, with source precedence configured to match your licensing terms.
SaaS subscriptions are recorded as managed assets with usage data, renewal dates and owners, so the estate is visible in one system rather than a spreadsheet.
Hardware lifecycle is configured as a governed workflow — request, allocate, refresh, retire — with disposals evidenced for audit and environmental obligations.
What you receive
- SAM Pro reconciliation producing a defensible licence position
- A single view of software, SaaS and subscription spend with renewal dates
- Hardware lifecycle workflows in production
- Reconciliation and compliance reports your asset team can run
- A remediation plan for the gaps the first reconciliation exposes
- Documented governance so positions stay accurate between reviews
Common questions
Do we need SAM Pro to manage software?
If your estate is large enough that reconciliation is manual today, SAM Pro pays for itself in avoided shelfware and audit exposure. Smaller estates can start with disciplined asset records and add SAM Pro when the volume justifies it — we will tell you which you are.
How accurate are licence positions from SAM Pro?
They are as accurate as your entitlement records and discovery sources. Part of our work is cleaning both, then configuring reconciliation so the platform calculates the position rather than someone maintaining it by hand.
Can this include SaaS subscriptions, not just traditional software?
Yes. SaaS and subscriptions are brought into the same managed view — spend, usage, renewal dates and owners — which is the basis of our software and SaaS governance work.
What does the first reconciliation typically expose?
Unused and duplicated entitlements, unmanaged purchases outside the process, and publishers where installed and entitled numbers diverge. The remediation plan sizes each gap so action is prioritised rather than overwhelming.
