IT Asset Management (ITAM)

A governed hardware asset lifecycle from request and receipt through to retirement.

IT Asset Management gives teams control of the hardware lifecycle: what was purchased, where it is, who uses it, when it needs refresh and how it is retired. It connects procurement, inventory, allocation and disposal into a lifecycle the organisation can evidence.

Good ITAM depends on reconciling asset records with discovery and procurement data, and on clear ownership for each lifecycle step. We help establish both the ServiceNow workflows and the governance that keeps them accurate.

Good fit if

  • Hardware location and assignment data is unreliable
  • Procurement, stockrooms and support teams maintain separate inventories
  • Refresh and disposal decisions are reactive
  • Audit questions about asset ownership take too long to answer

Useful to have first

  • Available procurement, inventory and discovery data
  • Named owners for stockrooms and asset lifecycle stages
  • Agreement on asset classes and minimum record quality

What the work covers

  • Hardware asset lifecycle from request and purchase to allocation and disposal
  • Asset inventory, stockroom and transfer processes
  • Receiving, fulfilment, return and refresh workflows
  • Asset-to-CI relationships and reconciliation
  • Procurement and vendor data integration
  • Lifecycle, utilisation and audit reporting

How we build it

Asset records and configuration items are related intentionally, with reconciliation rules that prevent duplicate inventory and clarify which record is authoritative for each field.

Stockroom and fulfilment flows model receiving, allocation, transfer and return, with scans or imports where available.

Lifecycle stages and disposal evidence are configured to match procurement and security policies, including data sanitisation confirmation where required.

Data imports use mapped source fields and validation to keep serial numbers, models, users and cost data consistent.

What you receive

  • Hardware lifecycle model and ownership map
  • Configured workflows for receiving, assignment, transfer, refresh and retirement
  • Reconciled asset and CI data for the agreed scope
  • Procurement or discovery data integration as scoped
  • Asset reporting for lifecycle, location and accountability
  • Runbook and team knowledge transfer

Common questions

How does ITAM relate to the CMDB?

Assets represent owned items and their lifecycle; CIs represent operational configuration. The records can be related, but are not interchangeable. We define the relationship and reconciliation rules for your use cases.

Can you import an existing asset spreadsheet?

Yes, if it is sufficiently structured. We map source fields, validate key identifiers and report data quality issues before loading; imports are tested in a sub-production environment.

Does ITAM cover software licences?

Hardware ITAM covers physical asset lifecycle. Software entitlements and reconciliation are handled through SAM and SAM Pro; the two practices can share governance and reporting.

How do you manage disposal evidence?

The lifecycle can require disposal status, date, method and approval evidence. Specific data sanitisation and retention requirements should be agreed with your security and compliance owners.
